Changing the billing date of the club's memberships

Payments

For clubs: in Memberships, the Change billing date button moves the next charge of active memberships to a single date. It works in two steps, and nothing is charged or refunded because of the change.

How to do it

  • Pick the new billing date: it must be in the future and at most 62 days from today. It counts as that day in the club's time zone.
  • Preview shows how many memberships will change, how many are skipped, and the approximate value of what the club stops collecting (later date) or collects earlier (earlier date). Nothing is sent yet.
  • Apply change moves each membership's date in Stripe, with no proration and no invoice generated. Each member moved gets a notice and every change is kept in the audit log.

Good to know

  • These are skipped: paused memberships, ones with a scheduled cancellation, ones without Stripe, one-time purchases (no next charge), ones that are not active (for example past due) and ones that already bill on that date.
  • A later date gives members days with no charge. An earlier date charges sooner and does not refund the days already paid: the preview warns you.
  • Each batch processes at most 200 memberships, in alphabetical order of the player's name. If there are more, the preview and the result tell you how many are still to go: press Next batch and repeat until none are left. The Plan filter lets you limit it to a single plan. Repeating a batch never moves anything twice.
  • A manager can view the preview; to apply the change you need the permission to manage memberships. If there is a network error while applying, retrying does not move anything twice. If one membership fails in Stripe, the result tells you how many had errors and the rest carry on.
